HubSpot is useful when it describes the way you sell. It becomes shelfware when the portal is a copy of someone else's lifecycle, the properties mean three different things, and sales keeps a parallel sheet.

Who this is for
Software and services firms, and other B2B companies, that need one place for contacts, deals, and the next email. You are a fit if HubSpot is new and empty, or old and full of unused properties. You are also a fit if the portal was set up by a sequence of freelancers and nobody can say what "customer" means inside it.
What the work covers
The pipeline. Deal stages named for what has to be true to enter them, in language sales already uses. A stage that only marketing understands gets renamed or removed.
Properties that earn their place. The fields required to route and report a lead. Everything else is optional. We would rather have twelve fields people fill in than eighty fields nobody trusts.
Lifecycle and handoff. When a contact is a lead, when sales accepts it, and what happens if sales does not. The rule is written down, then built as a workflow.
The follow-up you will keep. A small set of emails and tasks tied to real moments: a form, a meeting, a stalled deal. We do not import a library of campaigns on day one.
The numbers. Lifecycle and source reports that marketing analytics can use. If the CRM and the website disagree, we fix the handoff before we add another dashboard.
How an engagement runs
- Understand. How a deal moves today, outside the portal. Then what the portal currently says.
- Strategize. Stages, properties, and the three workflows that matter this quarter.
- Execute. The build, a cleanup of dead properties and lists, and a working session with the people who will live in HubSpot.
- Review. After a cycle, we look at leads that arrived complete, deals that moved, and workflows nobody turned on.
