Zoho CRM vs Brevo vs ActiveCampaign for Very Small Teams

When a small team outgrows spreadsheets and cannot justify HubSpot's higher tiers, three names come up again and again: Zoho CRM, Brevo, and ActiveCampaign. All three are affordable. All three can store contacts and send email. But they were built for different jobs, and picking the wrong one means fighting the tool every day.

The quickest way to choose is to ask what your main problem is.

If your main problem is managing sales: Zoho CRM

Zoho CRM is a sales CRM first. Its strengths are pipelines, deals, tasks, quotes, and sales reporting. It can be customized heavily, with custom modules, fields, and workflows available on lower plans than most competitors.

Good fit when:

  • Your team sells through calls, meetings, and proposals.
  • You want to track every deal from first contact to invoice.
  • You already use, or plan to use, other Zoho apps for accounting, support, or HR.

Watch out for: a steeper learning curve, and marketing features that sit in separate Zoho apps.

Pricing: Zoho offers a free edition for up to three users, and paid plans in India start at ₹800 per user per month billed annually, at the time of writing (Zoho).

If your main problem is reaching contacts: Brevo

Brevo (formerly Sendinblue) is a messaging platform. Its strengths are email campaigns, transactional email, SMS, and WhatsApp messages, with a simple sales CRM included.

Good fit when:

  • You communicate with a large list of contacts: customers, partners, or leads.
  • Email and WhatsApp are your main channels.
  • You want a low starting cost and simple tools.

Watch out for: a CRM that is basic compared with Zoho, and automation that is simpler than ActiveCampaign's.

Pricing: Brevo has a free plan that allows up to 300 emails a day and includes basic sales CRM features (Brevo). Paid plans are priced mainly by email volume rather than by user.

If your main problem is nurturing leads: ActiveCampaign

ActiveCampaign is an email marketing and automation platform. Its strengths are detailed automation: sequences based on behavior, lead scoring, segmentation, and personalized follow-up.

Good fit when:

  • Leads need several touches before they are ready to talk to sales.
  • You run webinars, content downloads, or trials that need follow-up.
  • You want sophisticated automation without enterprise pricing.

Watch out for: deal pipelines that, on lower plans, depend on CRM add-ons (ActiveCampaign). Pricing is based on the number of contacts, so it grows with your list.

Questions to answer first

  1. Who will use it every day, sales or marketing?
  2. How do deals start? A form, a call, a referral, a trial?
  3. How many touches does a lead need before a sales conversation?
  4. What will you connect it to? Website, accounting, WhatsApp, calendar?
  5. How big will your list and team be in two years?

Some teams use two tools: Zoho CRM for sales and Brevo for campaigns, for example. That can work well, as long as the two are connected and one of them is clearly the source of truth for each contact.

For a sales-led team, start with Zoho CRM. For a team whose growth depends on messaging a large list, start with Brevo. For a team that needs smart nurture before sales, start with ActiveCampaign. If marketing and sales must share one system and the budget allows, compare with HubSpot.
